DUTIES & RESPONSIBILITIES

Position Purpose
Assisting in membership, office and finance administration, and events support, the Member & Administration Assistant will play a significant role in ensuring an inclusive and enjoyable customer experience for all and look to continually improve the delivery and overall consumer experience of Athletics SA’s core product offerings, including those delivered through its sub-brand, Running SA.

Key Responsibilities
The Member & Administration Assistant is part of a number of key organisational and administrative functions and these are outlined below.

Member and Database Management
• Maintain the organisation’s online CRM program, database(s) and distribution lists for registered athletes, officials, coaches, and life members
• Assist the Operations Manager be acountable for the on-going operation of the CRM system, trouble-shooting and liaising with the supplier and Athletics Australia as required
• In conjunction with other staff, coordinate the annual membership renewal and acquisition program with affiliated clubs
• Assist in the training of club personnel and provide assistance for individual club database management as required

Office and Finance Administration
• Be the first point of contact for a positive customer experience, answering telephone, website and email enquiries
• Annual General Meeting and governance administration such as working with children checks and affiliation processes
• Assist in the updating of the organisation’s policies and procedures
• Assist the Operations Manager in monthly finance reconciliation, reporting, accounts receivable and payable data entry in Zero platform

Competition and Events Administration
• Assist the Events Manager by setting up online registration for meets and events
• Oversee the electronic registration and check in process and collection of competition fees, along with general customer service
• Create and order competition bibs/numbers for athletes each season
• Attend Athletics SA events and be responsible for distributing competition bibs, registration and athlete queries
• Liaising with schools and officials, book officials for school meets as required
• Working with other staff, coordinate the annual Club Conference, meetings, and Awards Presentation

General Duties
• Work closely with other staff members and assist in identified peak periods and for key events such as the Adelaide Invitational and National Championships
• Assist the Communications Lead where possible including on socials and e-newsletters to members
• Assist the CEO and Communications Lead in preparing sponsorship proposals and reports as required, and in servicing sponsor agreements
• Coordinate the ordering of stationery and consumables as needed
• Take responsibility for ensuring all office areas are kept tidy and organised, including overseeing the management and maintenance of storerooms
• Undertake other duties as directed and required from time to time

Reporting and Working Relationships
The position of Member & Administration Assistant reports to the Operations & Events Manager and works closely with other Athletics SA staff and volunteers.

Special Conditions
• Work outside of normal office hours, including weekends will be required
• A current driver’s licence is required
• Athletics SA is a smoke free and drug free workplace
• Employees are required to have or be prepared to undertake a Working with Children Check

PERSONAL ATTRIBUTES
Prior experience within sport is preferred, but not vital. It is important to have a range of personal and professional skills, and possess an interest in working within a small team and complex and fast-paced organisation.

SALARY

As the successful candidate, you will receive:

$21,500 – $30,000 plus 11.5% Superannuation

  • National Training Wage Award
  • Fully Funded Qualification

  • People with tertiary qualifications need not apply. Current university applicants may have to defer their studies to be eligible for this traineeship.
  • This position is best suited to a recent secondary school leaver.
